How to add company details and set up shipping

Learn how to quickly complete your store information and configure your delivery methods.
A well-completed store profile is the foundation of effective sales. It helps build trust -customers get to know your store better and are more likely to make a purchase.

Before you start

  1. Your store account name cannot resemble a web address - it should not end with extensions like .pl, .com, .eu, etc.
  2. If you’d like to use terms such as “Official Store,” “Authorized Store,” or “Company Store” in your store name, please contact the Support Team - such names require Empik’s approval.

Add company information

  1. Log in to the Seller Management Center.
  2. Click Activate Store in the upper-left corner.
  3. Complete your store information according to the instructions.
    If you want to add additional store details, you can do it after logging in to the Seller Panel. You can upload your store logo, update contact details, or enable vacation mode.
  4. Go to Settings > Store > Contact Information and check that all automatically filled fields are correct - especially your email address, which is the main channel of communication with Empik.
NotesChanging your company data in settings temporarily blocks your payment account. To unblock it, contact the Support Team and inform them about the updates.

Add delivery information

Configure your shipping methods so that your offers become visible on empik.com.
  1. Log in to the Seller Management Center.
  2. Click Activate Store in the upper-left corner.
  3. Click Complete Delivery Setup.
  4. You’ll be redirected to the Seller Panel > Shipping Configuration section.
  5. Add shipping zone:
    1. Select Poland as your shipping zone - this is the default zone for standard orders (outside the Empik Premium program).
    2. The „Premium” zone applies only to Empik Premium Sellers. If you’re not part of the program, ignore it.
  6. Click Selected methods only > Edit in the Method section to choose the delivery options you want to offer (e.g. Courier, Parcel Locker, Delivery to Empik Store).
  7. Set shipping costs (we recommend using a custom configuration). The amount you enter will apply to all selected delivery methods.
    1. Initial price - the amount charged for the first item.
    2. Additional price - fill in only if you charge an extra fee for each additional item purchased.

Editing delivery methods

You can adjust delivery costs in two ways, depending on the number of shipping classes you use. 
If you have few logistics classes
Deactivate all delivery methods, then activate only the ones you want to offer.
  1. Select the Poland zone.
  2. Click More actions > Deactivate - this disables all shipping methods for all delivery classes.
  3. The Poland zone will appear grayed out. Now, re-enable only the classes you wish to offer.
  4. Select desired delivery method, click More actions > Activate.
  5. Set the delivery costs:
    1. Base price – the fee for the first item.
    2. Additional price – extra charge per additional item (if applicable).
  6. Repeat for all delivery methods you want to make available.
  7. To see currently active methods, select Show active items only.
    Adding new shipping methods won’t remove your previous configuration.
Notes
The default logistics class is Medium (code 2).
Empik does not impose size restrictions, but keep in mind:
  1. Parcel Locker shipping is available for all classes except code 3.
  2. Code 3 applies only to courier delivery.
  3. Code 11 is reserved for pallet shipments - enable it only for pallet delivery and disable it elsewhere.

If you have a lot of logistics classes

Deactivate only the methods you don’t want to offer. Select the unwanted method, click More actions > Deactivate.

Deactivated methods will be grayed out and unavailable to customers during checkout.


Free Shipping 

Customers love free delivery - it’s one of the key factors influencing their choice. You can enable it for all or selected offers.
Free shipping for all products
  1. Log in to the Seller Panel.
  2. Go to Settings > Shipping Configuration > Shipping Options.
  3. Check the box Offer free shipping for all orders.
Free shipping above a certain amount
  1. Log in to the Seller Panel.
  2. Go to Settings > Shipping Configuration > Shipping Fees.
  3. Click the name of the delivery method.
  4. In the Free shipping field, set the minimum order amount required for free delivery.

Each delivery method requires a separate free-shipping threshold.

How can I ship items to Poland?
The most common shipping method used by foreign Merchants is courier delivery.
However, Polish consumers most often choose parcel lockers and pick-up points. The main delivery companies include:
  1. Polish Post,
  2. InPost, which has the largest network of parcel lockers in Poland,
  3. DPD,
  4. DHL,
  5. FedEx,
  6. Geis,
  7. GLS,
  8. Pocztex,
  9. UPS.
How many days do Polish customers have to return an item?
Polish customers have 14 days to return an item. Poland follows regulations similar to those in other European Union countries regarding the right to withdraw from distance purchases.
Who covers the shipping costs in case of a return?
The Merchant defines their own return policy and decides who is responsible for covering the return shipping costs. This information must be clearly stated in your shop’s return policy and made available to customers.

Do I have to provide a proof of purchase?
Yes. You must include a receipt with every order. In addition, under Polish law, you are required to issue an invoice if a customer requests one. We recommend consulting your accountant for details.
How to set a shipping method - Carry-in-delivery
To set new shipping methods, carry-in delivery and carry-in delivery (paid on delivery):
  1. Log in to Seller Dashboard.
  2. Go to the Settings > Shop > Shipping configuration > Edit shipping prices.
  3. Shipping methods, carry-in delivery and carry-in delivery (paid on delivery), are available in the “For selected offers” logistic class (code = 11).
    In this logistic class, you should activate ”carry-in delivery””carry-in delivery (paid on delivery)” and other shipping methods which are supposed to be available for these offers. For the selected shipping methods, you ought to change “Rule” to Overridden price,” fill in the price field, and click Save.

  4. Go to Price and stock > Offers
  5. Choose the offers which are supposed to be shipped through carry-in delivery / carry-in delivery (paid on delivery) and choose the logistic class for selected offers (code = 11).
  6. Click Confirm.

Tracking numbers

A tracking number must be provided for all empik.com orders. Why is it so important?
  1. It allows the customer and Empik to track the shipment status in real time.
  2. It enables faster payment settlements once the order is delivered.
  3. It improves the accuracy of delivery time estimates for future customers.
The tracking number must be added before or at the same time as changing the order status to Shipped.
  1. If you use the Seller Panel - enter the number manually before confirming shipment.
  2. If you use an integrator – make sure it sends the tracking number before or at the same time as the shipping confirmation.
Providing this information in the wrong order may cause issues with order status updates.
How to manually add a tracking number
  1. Log in to the Seller Panel.
  2. Go to Orders in the menu on the left.
  3. In the Shipping field, click Add tracking information.
  4. Select the carrier and enter the tracking number.
  5. Click Save and confirm shipment.
How to add your own carrier and track shipments

If you preferred carrier is not on the default list, you can add it as a custom shipping method.

  1. Log in to the Seller Panel.
  2. Go to Settings > Shipping Configuration.
  3. Click on Carriers.
  4. Click Add a Carrier and select Own-account  Transport as the carrier type.
  5. Enter tracking number provided by your carrier and save,
